Overview: Learn how to review and merge duplicate profiles on your PSA List.
Spry will identify PSA profiles that appear to belong to the same athlete and allow you to review them and merge them into a single PSA profile. The merge allows you to select which information should be retained from each individual profile while preserving the selected profile's PSA ID.
Before you begin
Before merging profiles, carefully review the information on each profile to make sure they belong to the same PSA. Merging profiles combines the records, so make sure you are confident the profiles are duplicates before confirming the merge.
Step 1: Open Duplicate Profiles List
- Navigate to PSA Management.
- Click Duplicate Profiles at the top of the page. *Not seeing this? That means no duplicates have been detected!
- Spry will display groups of PSA profiles that have been identified as potential duplicates.
- Review the information shown for each group, including:
- PSA name
- Number of profiles
- Class year
- School
- Duplicate confidence score
- Matching fields
*Tip: You can use the Search PSA names field or the confidence/source filters to locate a specific duplicate group.
Step 2: Review the duplicate profiles
- Locate the PSA profiles you want to merge.
- Review the matching information displayed on the duplicate profile card.
If the profiles are duplicates, click Review and Merge.
If the profiles are not duplicates, click Not Duplicates instead.
Step 3: Select the surviving profile
On the Merge Profiles page, you will first need to select the profile that should remain after the merge.
- Review the profiles shown under Pick the Surviving Profile.
- Click the profile you want to keep.
- The selected profile will be highlighted and marked Selected.
- If one of the profiles in the cluster is NOT a duplicate of the others, simply click "Split One Off" to the right of the PSA Name, and it will be removed from the Merge process.
*Important: The selected profile will keep its existing PSA ID after the merge.
Spry provides a recommendation based on the available profile information. The recommendation prioritizes questionnaire submissions first, followed by the profile with the richest data, but you can select a different profile if needed.
Step 4: Review and resolve the profile information
After selecting the surviving profile, review the information under Resolve Each Field.
Each field displays the information available on each duplicate profile. For example, you may see different values for:
- Graduation year
- Recruiting tags
- Weight
- Recruited position
- Social media information
- Other PSA profile fields
The selected value for each field will be used on the merged profile.
Use Quick Fill options
Spry provides several options to help you resolve the fields:
- Auto: most complete — automatically selects the most complete available information.
- Take all from selected — uses the information from the surviving profile you selected.
- Prefer most recent questionnaire data — prioritizes the most recent questionnaire information when applicable.
You can use a Quick Fill option to populate the fields and then manually review the selections before completing the merge.
Step 5: Review conflicts
If the duplicate profiles contain different information for the same field, Spry will identify the field as a Conflict.
For example, if one profile has a different graduation year or recruiting tag than the other profile, both values will be displayed and you can select which value should be retained.
To make reviewing conflicts easier:
- Check Show conflicts only.
- Review each conflicting field.
- Select the radio button next to the value you want to keep.
- Continue reviewing the conflicts until all fields have been resolved.
You can also select Hide fields where all values match to focus on fields where the profiles contain different or missing information.
*Tip: Be sure to review conflicts carefully rather than automatically accepting the selected value, especially for important recruiting or academic information.
Step 6: Review the merged profile
Before completing the merge, review the information you've selected for each field.
At the bottom of the page, Spry displays the number of fields that will be populated in the merged record.
*Note: All attachments, activities, and notes from all profiles are preserved and added to the selected profile.
Step 7: Confirm the merge
Once you have reviewed the profiles and resolved the fields:
- Click Confirm Merge in the bottom-right corner.
- A confirmation window will appear while Spry processes the merge.
- Keep the window open until the process is complete.
Once the merge is complete, Spry will return you to PSA Management, and the duplicate profile count will update.
Important reminders
- Only merge profiles after confirming they belong to the same athlete.
- The profile you select as the surviving profile keeps its PSA ID.
- Review conflicting fields carefully before confirming the merge.
- Attachments, activities, and notes from all profiles are preserved and added to the surviving profile.
- Once you click Confirm Merge, allow the process to finish before navigating away from the page.
