Q: What is a duplicate PSA profile?
A duplicate PSA profile is when the same recruit has more than one profile in Spry. This can happen because recruits can enter Spry through various methods: manual entry, a questionnaire, a Slate transfer, or a bulk upload.
Q: Why don't I see the option to review Duplicate Profiles on my PSA List?
If you don't see the option to review duplicate profiles on your PSA List, it's because the system does not detect any duplicates.
Q: Will I lose any data if I merge profiles?
No. Everything on the archived profile stays exactly as it was — nothing is deleted.
Q: Where did the other profile(s) go?
It's archived. It can be found and restored (unarchived) at any time.
Q: Can I undo a merge?
Yes. Unarchiving the duplicate profile reverses it. Follow THIS GUIDE to undo a merge.
Q: What if I don't pick a value for a field when I'm reviewing the duplicate profiles?
Nothing changes — the surviving profile you chose will keep its existing value.
Q: After I merge profiles, will the athlete get emails twice if I email them through SpryMail?
No. Email history moves to the survivor, so nothing is ever double-counted. Clicking on Reply will make sure email is to the correct surviving profile.
IMPORTANT TO REMEMBER WHEN MERGING PROFILES:
Nothing is ever deleted.
When two profiles merge, the archived profile(s) keeps everything it had.
- If the merge was a mistake, it can be reversed.
- The archived profile's info, notes, and files are untouched.
- Every merge is logged: who did it, when, and what was chosen. The record lives in the database.
- A mistake can always be undone.
