Overview: This guide will walk you through how to send a 1:1 email ("Direct Send") to a PSA using SpryMail.
Note: Detailed Metrics Tracking is not available for 1:1 emails, but you will be able to see if and when they have opened it.

Initiating the "Direct Send" Workflow
OPTION 1: From the PSA's Profile
1. Navigate to your PSA List by clicking into the "Recruiting" dropdown within the menu on the left side of your Coach Portal, then click "PSA List".
2. Search for the PSA that you want to send an email to, then click into their profile.
3. On the right side of the screen, click "Send Email".
OPTION 2: From SpryMail
1. Navigate to SpryMail by clicking into the "Recruiting" dropdown within the menu on the left side of your Coach Portal, then click "SpryMail".
2. From your SpryMail homepage, click "Send"
3. Select "Direct Send"
Selecting the Email Recipient
*Skip this step if you went to the PSA's Profile to initiate this email (Option 1 above) - the PSA will already have been automatically selected as the recipient for you.
1. Click "Choose Recipients" to select the PSA you'd like to send the email to directly from your PSA List.
2. Click on the "Add Individually" tab.
3. Search the PSA's name in the search bar.
4. OPTIONAL: Add Parent/Guardian(s) and/or High School and Club Coaches: If you'd like the Parent/Guardian contact(s) and/or Coach contact(s) listed on the PSA's Profile to receive the email as well, you can select the corresponding checkboxes on the right hand side before proceeding.
Configuring Email Settings
1. Indicate whether this is a "Recruiting related email". *Please contact your compliance department if you are unsure which category applies to your campaign.
- Recruiting email examples: invitations to visit, academic and eligibility requirements, updates and progress reports, scholarship offers, etc.
- Non-recruiting email examples: questionnaires, camp brochures, nonathletic institutional publications and NCAA educational materials published by the NCAA.
2. Enter an Email Subject. This is what will show in the subject line of the PSA's inbox.
3. Configure Advanced Settings
- Change which Coach will be shown as the Sender and/or which Coach will receive replies to the email
- "From" Example: Want to send a campaign out on behalf of your Head Coach? You can select their name from the dropdown, and their name and email will show as the sender of the email.
- "Reply to" Example: Want all replies to the email campaign to go to a different coach on your staff? You can select their name from the dropdown, and they will receive all replies to this campaign, even if the sender is different.
- Change how the Sender's name appears in the PSA's inbox
- You can change what the recruit sees as the sender's name when they receive the email. For example, instead of the email coming from "Chris Thomas", you can set it to come from "Coach Chris at Spry College".
Composing and Sending your 1:1 Email
You can compose your message in one of two ways:
1. Option 1 is to simply type your message into the open text area and format it as needed using the text editor toolbar.
2. Option 2 is to use the "Add Templates" option to insert a Prebuilt Template, a Previously Saved Template, or a Template using HTML Code.
- Prebuilt Templates: This feature will allow you to create your own custom template by selecting from a list of prebuilt options as your foundation. To learn more about how to customize these templates and make them your own, please reference THIS GUIDE.
- Previously Saved Templates: This option will allow you to choose from your own personal list of previously saved templates. Simply select the template you'd like to use, and click "Insert".
- Via HTML Code: If you have previously saved email templates via HTML Code, you can add them to SpryMail using this option.
3. Once you have composed your email, click "Preview email" to make sure everything looks good.
4. Send your email immediately by clicking "Send now", or click "Schedule" to send your email at a later date (see THIS GUIDE).
